Final Notice: Annual General Meeting for 103 Thunderbird SSC

To all Parents;
 
It is time for 103 Thunderbird Squadron’s Annual General Meeting (AGM).  The Date of the AGM is Wednesday September 28th, 2016, from at 20:00 to 22:00 (8:00 - 10:00 pm) approximately.  The meeting will start after the CO’s  Parade.  We are meeting in the training room downstairs below the Parade Floor.  This meeting is open to all parents of new and returning Cadets as well as members-at-large.
 
At this meeting, the people who hold the Executive Positions with the Parent Sponsoring Committee will step down.  The Executive Positions of the Parent Sponsoring Committee become available to any parent or member-at-large.
 
The Executive Committee positions are elected positions.  This means that if you would like to put your name up for a position please have someone nominate you at the meeting.  During the meeting every name for a position gets voted on.  The names with the most votes for each position get the honour of serving the Parent Sponsoring Committee for the 2016/2017 training year.
 
We strongly encourage parents and members to consider volunteering for any and all positions that will become available.  The success of the Squadron depends on the parent and member volunteers.  This is a Great Way to meet other parents and provide much needed support to the Squadron.
 
The following ten positions will become available: (I’ve tried to provide a brief description of each position and the approximate time commitment. Hopefully this will be of some help in deciding whether you’d like to support the squadron in these ways.)
 
Executive Committee (Administer the day to day running of the committee and at least two members usually attend Wed parades)
 
Chair – Liaises with Commanding Officer and Air Cadet League of Canada, has cheque signing authority, attends most Wed eves for at least 1-2 hours. Spends approximately 4 additional hours per week on cadet issues.
 
Vice Chair – In charge of the Volunteer Screening and Security program and is ready to fill in for Chair, when and as required. Provides advice and counsel as required. Has cheque signing authority. Attends approx. ½ of all Wed parades. Conducts 1-2 screening process per year.
 
Treasurer – This is the real workhorse!  In charge of SSC finances. Has cheque signing authority, Also does gaming grant application, taxes, and financial reports throughout the year. Attends most Wed parades 1-2 hours, Additional countless hours per week.
 
Secretary – Provides administrative support to the Committee activities through the preparation of agendas, minutes and correspondence. Attends most Wed parades 1-2 hours if not more. Also has cheque signing authority.  Approximately 2-3 hours per week additional commitment.
 
Coordinators (Committee members/Parents who assist in one of the following tasks. No cheque signing authority)
 
Membership Coordinator – Maintains the Squadron parent contact list and updates as required. Also monitors who has, and who has not, paid the mandatory yearly registration fees. After initial registration forms are input to program. Time commitment approximately 3-4 hours per year.
 
Canteen Coordinator- Runs the squadron canteen at break time on Wed parades. Also purchases items to be sold in the canteen. Time Commitment approximately 2 hours per week.
 
Special Events Coordinator- In charge of special events. IE Mess Dinner, Christmas Dinner, NCO weekend meals, Sqn BBQ’s, etc , etc…. deals with caterers, purchases required food items for meals, in charge of setup and service at special events. Not required at every Wed parade, but spends countless additional hours over the year.
 
Tagging Coordinator- Obtains permission for tagging at commercial locations from corporate sponsors/supporters. Assists with the administration of tagging weekends. Arranges for insurance coverage where required by commercial locations. Time commitment approx. 8-10 hours over the training year.
 
Other Fundraising Coordinator- Secures funding alternative to “tagging”. Coordinates as required with donors. Time commitment, indeterminate.
 
Quartermaster/Inventory Coordinator- New project. In charge of compiling and inventory of all SSC owned items and maintaining the list for insurance and replacement purposes. Time Commitment minimal once initial inventory is completed.
 
We look forward to seeing as many parents and members as possible on September 28th.
